1. Scope

These Terms of Service apply to the purchase of tickets and attendance at Applied AI Conf, organized by BLW Tech Berlin Ventures UG (haftungsbeschränkt). By purchasing a ticket or attending the event, you agree to these terms.

2. Ticket Purchase

Tickets for Applied AI Conf are sold through our ticketing partner Luma. All ticket prices are listed in EUR and include applicable VAT.

A ticket purchase is binding upon completion of the checkout process. You will receive a confirmation email with your ticket details.

3. Refund & Cancellation Policy

Paid tickets: Refunds are available up to 30 days before the event date. After this deadline, no refunds will be issued.

To request a refund, please contact us at info@techeurope.io with your ticket confirmation details.

3a. Partner Communications & Data Sharing

By registering for Applied AI Conf, you acknowledge that the event is supported by premium, gold, and selected community partners listed at conference.techeurope.io. You consent that the personal data you provide during registration (such as your name, email address, role, and company) may be shared with these partners so that they may contact you with relevant updates, follow-ups, or information of interest in connection with the event.

Partners are required to process your data in compliance with the General Data Protection Regulation (GDPR) and to implement appropriate technical and organisational safeguards.

You may withdraw consent at any time, either via the unsubscribe link in any partner email, or by contacting us at info@techeurope.io. Full details of how we process your data are set out in our Privacy Policy.

3b. Event App, Networking & Badge Scanning

Applied AI Conf provides an event networking app in which you create a profile (such as your name, role, company, LinkedIn URL, and bio) and are issued a personal QR code. The app is designed for in-person networking: when you display your QR code and another attendee or partner scans it (using the in-app scanner or any phone camera), your profile is shown to them and saved into their contacts. You can likewise open another attendee's QR with your phone camera to view their profile and add them to your own contacts.

Note: the in-app scanner is provided only to partner team members for lead capture at their booths. Regular attendees collect contacts by opening other attendees' QR codes with their phone camera. The consent model is the same in either direction.

By using the app you agree that other attendees and partners may scan your QR code and retain your profile information for the purpose of networking at the event. This is a standard and expected part of attending, and there is no per-scan opt-out. If you do not wish to be scanned, simply do not display your QR code. You can remove yourself entirely at any time by deleting your account in the app, which removes your profile from other attendees' contact lists.

If you join a partner team account within the app, contacts scanned by any member of that team are visible to the whole team. Further detail on how this data is processed is set out in our Privacy Policy.

4. Event Changes

The organizer reserves the right to modify the event programme, including changes to speakers, session times, and venues, without prior notice.

If the organizer cancels the event entirely, all ticket holders will receive a full refund of the ticket price.

5. Liability

Attendance is at the attendee's own risk. The organizer is not liable for loss, theft, or damage to personal property at the venue, nor for personal injury, except where caused by gross negligence or wilful misconduct of the organizer.

The organizer's liability is otherwise limited to the ticket price paid.

The organizer is not liable for any indirect, incidental, or consequential damages arising from attendance at the event.

6. Code of Conduct

All attendees are expected to comply with our Code of Conduct. Violations may result in removal from the event without refund.

6a. Photography, Recording & Speaker Content

Photos and video may be taken throughout the event. By attending, you consent to your image and likeness being used by the organizer and event partners for promotional, communication, and documentation purposes, in both digital and print formats. If you would prefer not to be photographed, please notify the on-site team at check-in.

Attendees may take personal photos and short clips for social media use. Full recording or live-streaming of talks, sessions, or workshops is not permitted without prior written consent from the organizer and the relevant speaker, in order to respect speaker intellectual property and any embargoed content.

Opinions expressed by speakers, partners, and sponsors are their own and do not necessarily reflect those of the organizer. The organizer does not endorse or guarantee the accuracy of information, products, or services presented at the event.
